Account deletion
How to close an asisDENT account and have the data on it deleted — who to ask, what happens next, and what is removed straight away as against what the clinic still has to keep.
1. Whose account it is
asisDENT is used by clinics, and an account is not opened by the person who signs in with it: the clinic owner creates it for a dentist, an assistant or a receptionist. The clinic owns everything recorded through it. That is what decides who you ask.
- You are a member of clinic staff. Ask the clinic owner to close your account — inside the system it is one step. If you no longer work there and cannot reach them, write to us and we pass the request on and follow it up.
- You are the clinic owner. Write to us from the address the account is registered to. We close the clinic account together with every staff account under it.
- You are a patient. The clinic that treated you owns your record. Send the request there. If it reaches us first we forward it and give the clinic the technical help it needs.
2. How to send the request
Write to the address below and say:
- the clinic name;
- the name the account is registered under;
- whether you want one staff account closed or the whole clinic account.
Send it from the e-mail address the account is registered to — that is how we confirm the request is yours. If you cannot, we ask one or two questions only the account holder can answer. We never act on a deletion request we cannot tie to the account.
3. What is deleted
The moment an account is closed the sign-in stops working, every paired device is signed out, and notifications to it stop.
- Deleted: the account itself — name, e-mail, phone number, password, device sessions and notification tokens.
- Kept briefly, then deleted in full: a deleted record does not vanish the same second, so that something deleted by mistake can be brought back.
- Kept: patient and treatment records, and the trail of who changed what. These belong to the clinic rather than to the staff account, and a medical record carries a retention duty the law places on the clinic. Clause 8 of the privacy policy sets this out.
If the clinic asks in writing for its data to be deleted in full, it is deleted taking that retention duty into account, and the clinic is given written confirmation of the deletion.
4. Before you ask
Deletion cannot be undone. A clinic can export its data from inside the system — do that before sending the request, not after.
Removing the app from a phone deletes nothing on the server: it only removes that one device. The reverse is also true — closing the account does not remove the app, it simply can no longer sign in.
